Privacy policy

Effective Date: [17-09-2026]

Opsole is committed to handling personal information transparently and responsibly. This Privacy Policy explains how Opsole collects, uses, shares, stores and protects personal information when individuals interact with our company websites, landing pages, forms, marketing activities, events, sales processes and related online services.

This policy is deliberately company-level and product-neutral. Certain Opsole products or services may have additional privacy notices, product terms, data processing addenda or security documentation that apply to product-specific data processing.

1. Scope

This Privacy Policy applies to opsole.com and other Opsole websites, landing pages, online forms, campaign pages, events, marketing communications and digital properties that link to this policy (collectively, the “Sites”).

It also applies to personal information we receive in connection with business enquiries, demonstrations, assessments, trials, events, sales and marketing activities, social media lead forms and other pre-contract or relationship-management activities.

Where an Opsole product processes data on behalf of a customer, the applicable customer agreement, product-specific privacy notice or data processing addendum may govern that processing in addition to or instead of this website policy.

2. Who We Are and Our Privacy Roles

“Opsole”, “we”, “us” and “our” refer to Opsole Ltd and, where applicable, its affiliates. Opsole Ltd acts as the data controller for personal information processed through opsole.com and Opsole’s website, marketing, sales and business-contact activities.

For most website, marketing, sales, recruitment and business-contact activities, Opsole determines why and how personal information is processed and acts as the controller or equivalent responsible organization under applicable law.

For certain customer product or service data, Opsole may act as a processor or service provider on behalf of a customer. In those cases, the customer generally determines the purposes of processing and requests relating to that customer-controlled data should normally be directed to the customer.

3. Personal Information We Collect

Information you provide directly

  • Contact and professional details, such as name, work email address, telephone number, company, job title, department, country or region.
  • Enquiry and lead information, such as the product or service you are interested in, project requirements, organization size, device or environment information you choose to provide, requested timeline, and other details submitted through forms or conversations.
  • Demo, assessment, event and trial information, including registration details, scheduling preferences, responses to qualification questions and follow-up preferences.
  • Communications, including emails, support or sales messages, meeting notes, feedback and other correspondence with Opsole.
  • Account or portal information, where an Opsole website or service requires registration or authentication.
  • Billing or transaction information where relevant to a commercial relationship. Payment card information may be processed by third-party payment providers rather than stored directly by Opsole, depending on the transaction.

Information collected automatically

  • IP address, browser type, operating system, device type, language, approximate location derived from IP, and similar technical information.
  • Pages viewed, links clicked, referring and exit pages, timestamps, session information and interactions with Site content.
  • Cookie identifiers, advertising identifiers, campaign parameters and similar online identifiers, subject to applicable consent requirements.
  • Security, diagnostic and fraud-prevention information used to protect the Sites and our systems.

Information from third parties

  • Business contact and lead information provided through advertising platforms, social media lead forms, event platforms, referral partners, resellers, business partners or publicly available professional sources.
  • Campaign and attribution information from advertising and analytics providers, such as whether a visitor interacted with an advertisement before visiting or submitting a form.
  • Information provided by your organization or colleagues where they ask us to engage with you about an Opsole product, service or business matter.

Please do not submit sensitive personal information through public website forms unless Opsole specifically requests it for a legitimate purpose and provides appropriate instructions.

4. How We Collect Information

We collect information when you visit or interact with the Sites, submit a form, book a meeting, request a demo or assessment, register for an event, download content, communicate with us, respond to marketing, use a social-media lead form, create an account, or otherwise engage with Opsole.

We may also receive information from service providers, advertising and analytics platforms, CRM systems, business partners and public professional sources, subject to their terms and applicable law.

5. How We Use Personal Information

We may use personal information for the following purposes:

  • Respond to enquiries, schedule meetings, provide demonstrations, assessments, trials, quotations and requested information.
  • Understand business needs, qualify opportunities, manage sales pipelines and maintain customer and prospect relationships.
  • Provide, operate, secure, support and improve our Sites, products and services.
  • Personalize website content and improve usability, performance and user experience.
  • Measure marketing performance, attribute leads and conversions, understand campaign effectiveness and optimize advertising.
  • Send service-related communications, event information, newsletters and marketing communications where permitted by law.
  • Maintain CRM, business records, audit trails and internal reporting.
  • Detect, investigate and prevent fraud, abuse, security incidents and unauthorized activity.
  • Comply with legal obligations, enforce agreements and protect Opsole, our customers, users and third parties.
  • Support corporate transactions, due diligence, restructuring or other legitimate business operations, subject to appropriate safeguards.

6. Legal Bases for Processing

Where applicable law requires a legal basis for processing, Opsole may rely on one or more of the following, depending on the context:

  • Your consent, including consent for certain cookies, advertising technologies or marketing communications where required.
  • Steps requested by you before entering into a contract, or performance of a contract with you or your organization.
  • Our legitimate interests in operating and securing our business, responding to enquiries, improving our Sites and services, conducting business-to-business marketing, measuring campaigns and managing customer relationships, where those interests are not overridden by your rights.
  • Compliance with legal, regulatory or law-enforcement obligations.
  • Other lawful grounds or permitted uses recognized by applicable privacy law.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing that was lawful before withdrawal.

7. Cookies and Similar Technologies

The Sites may use cookies, pixels, tags, local storage and similar technologies for essential functionality, security, preferences, analytics, advertising measurement, attribution and remarketing.

Types of technologies we may use

  • Strictly necessary technologies required for core Site functionality, security, load balancing, fraud prevention or user-requested features.
  • Preference technologies that remember choices such as language or consent settings.
  • Analytics technologies that help us understand traffic, Site performance and visitor interactions.
  • Advertising and measurement technologies that help us measure campaign effectiveness, attribute conversions, create audiences and, where permitted, deliver or optimize relevant advertising.

Current technologies may include services from providers such as Google (for example Google Analytics, Google Ads and Google Tag Manager), LinkedIn (for example LinkedIn Ads, Lead Gen Forms or the LinkedIn Insight Tag), and comparable providers we may use in the future. The specific tools in use may change as our technology stack evolves.

Where required by law, non-essential cookies and similar technologies are activated only after appropriate consent. You can manage applicable preferences through our cookie banner or Cookie

8. Advertising, Conversion Measurement and Remarketing

We may use advertising platforms to promote Opsole products and services and to understand whether advertising results in website visits, enquiries, demo requests or other conversions.

Depending on the campaign and your choices, advertising and measurement providers may receive online identifiers, device/browser information, page interactions, campaign information or conversion events. Where enabled and permitted by law, we may also use server-side conversion measurement or enhanced-conversion technologies that transmit event information or securely transformed identifiers (for example, hashed contact information) to advertising platforms for measurement, attribution and campaign optimization.

We do not sell personal information for monetary consideration. In some jurisdictions, certain advertising or audience activities may be defined as “sharing”, “targeted advertising” or a similar regulated activity. Where required, we provide consent or opt-out choices through cookie settings or other mechanisms.

9. CRM, Sales and Marketing Operations

We may store and manage business-contact, lead and relationship information in customer relationship management (CRM) and sales systems, including Microsoft Dynamics 365 and other systems used to manage customer and business relationships. This may include form submissions, lead source, communications, meeting history, opportunity status and related business notes.

We may use this information to route leads, respond to enquiries, coordinate follow-up, understand product interest, measure sales and marketing performance, and maintain a record of our business relationship.

10. Email and Other Marketing Communications

Where permitted by law, we may send information about Opsole products, services, events, resources and company updates to business contacts who have requested information, engaged with us, or otherwise have an appropriate relationship with Opsole.

You can opt out of marketing emails at any time using the unsubscribe link in the message or by contacting us. We may retain limited information on a suppression list to respect your opt-out request. Service, security, transactional or legally required messages are not treated as marketing and may still be sent where necessary.

11. How We Share Personal Information

We may share personal information only as reasonably necessary for the purposes described in this policy, including with:

  • Opsole affiliates and group companies for legitimate business, operational, support, security and administrative purposes.
  • Cloud hosting, website, security, analytics, advertising, CRM, email, collaboration, customer-support and other technology providers.
  • Marketing agencies, campaign partners, event providers and other service providers acting on our behalf or supporting agreed marketing activities.
  • Professional advisers such as lawyers, accountants, auditors, insurers and consultants.
  • Resellers, implementation partners or other business partners where necessary to respond to a request, provide a service or manage a business relationship.
  • Government authorities, regulators, courts or law-enforcement bodies where disclosure is required or permitted by law or necessary to protect rights, safety or security.
  • A buyer, investor, lender or successor entity in connection with a merger, acquisition, financing, restructuring, sale of assets or similar corporate transaction, subject to appropriate confidentiality and data-protection measures.

We require service providers handling personal information on our behalf to process it under appropriate contractual and security obligations, subject to applicable law.

12. International Data Transfers

Opsole operates internationally and may use service providers or affiliates located in different countries. As a result, personal information may be transferred to, accessed from or stored in countries other than the country where it was collected.

Where applicable law restricts international transfers, we use appropriate safeguards such as contractual protections, recognized transfer mechanisms, adequacy decisions or other lawful measures.

13. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including to maintain business records, manage customer and prospect relationships, comply with legal obligations, resolve disputes, enforce agreements and support security or audit requirements.

Retention periods vary depending on the type of information, the nature of the relationship, legal requirements and our operational needs. For example, marketing contact information may be retained while a business relationship or legitimate marketing purpose continues, subject to opt-out rights, while security and transaction records may be retained for legally or operationally required periods.

Product-specific information may be subject to different retention periods stated in the applicable product privacy notice, contract, DPA or documentation.

14. Data Security

We use reasonable administrative, organizational and technical measures designed to protect personal information against unauthorized access, loss, misuse, alteration or disclosure. Measures may include access controls, encryption, logging, secure configuration, vendor management and security monitoring, depending on the system and risk.

No method of transmission or storage is completely secure. Accordingly, we cannot guarantee absolute security, but we work to maintain safeguards appropriate to the nature of the information and the risks involved.

15. Your Rights and Choices

Depending on your location and applicable law, you may have rights relating to your personal information, which may include the right to:

  • Request access to personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion or erasure in certain circumstances.
  • Object to or request restriction of certain processing.
  • Withdraw consent where processing is based on consent.
  • Request portability of certain information where applicable.
  • Opt out of marketing communications and, where applicable, targeted advertising or regulated “sale” / “sharing” activities.
  • Raise a privacy concern or complaint with Opsole and, where applicable, a competent data-protection authority.

We may need to verify your identity or authority before completing a request. Rights are subject to exceptions and limitations under applicable law.

16. Children’s Privacy

Opsole’s Sites, products and services are intended for business and professional use and are not directed to children.

17. Third-Party Websites and Services

The Sites may contain links to third-party websites, marketplaces, social networks, documentation, booking tools or other services. Their privacy practices are governed by their own notices. We encourage you to review those notices before providing personal information.

18. Product-Specific and Customer-Controlled Data

This Privacy Policy primarily governs Opsole’s company-level website, marketing, sales, recruitment, business-contact and related corporate activities. Opsole may offer different types of products and services, including cloud-based services, software applications, downloadable or installed software, APIs, platforms, professional services and other technology solutions.
Individual products and services may collect or process different categories of information depending on their functionality and deployment model. Where applicable, such processing will be described in the relevant product-specific privacy notice, security documentation, Terms of Service, End-User License Agreement (EULA), Data Processing Addendum (DPA), customer agreement or other applicable documentation.

Where Opsole processes personal information solely on behalf of a customer using an Opsole product or service, the customer may be the controller or responsible organization. Requests concerning that customer-controlled data should generally be directed to the customer, and Opsole will support the customer as required by applicable law and contract.

19. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our business, products, technology, legal requirements or privacy practices. We will post the updated version on the Site and update the effective or last-updated date. Where required by law, we will provide additional notice of material changes.
